Note: This conference is rescheduled from April 2010, at which point the original conference was cancelled due to the ash cloud situation. Delegates who were registered for the original conference are automatically re-registered for the September conference. However, you may be requested to revisit this site to register for specific parts of the programme, in which case you will need to re-enter some personal data.

ACCOMMODATION

IFEA Europe does not engage with hotel bookings and does not recommend any particular hotels. However, we are pleased to supply you with the following list of hotel suggestions. The suggested hotels are all close to the (one and only) metro line in Copenhagen that easily links the conference venues by Frederiksberg Metro Station with the city centre (and the evening activity locations) around Kongens Nytorv Metro Station.  

Radisson Blu Falkoner Hotel next to Frederiksberg Metro Station is the hotel closest to conference venues for both "Journeys of Expression" and "Festive Roads to Recovery", but not in the city centre.  It is an upscale business hotel with advance booking rates starting at € 110 (single room/4 nights).

Cabinn Hotel Scandinavia is located close to the Forum Metro station - halfway between the conference venues by Frederiksberg Metro Station and downtown Kongens Nytorv Metro Station. It is a large discount hotel of good standard, with rates starting at € 66 (single room).

ABOUT DELEGATES' FEES and DISCOUNT CODES

Regular fee (non-members):                  DKK 3750 (€ 500)

IFEA Europe members:                           DKK 3000 (€ 400)

If you are not currently a member of IFEA Europe, but would like to sign up to be eligible for the member discount and take advantage of other membership benefits in the future, please go to www.ifeaeurope.com/join to sign up before proceeding with your conference registration. (Annual membership fees: Students € 50, Individual/personal members € 200, Festival organisations € 375, Non-festival organisations - i.e. suppliers, tourist offices etc. - € 495).

The basic conference fee covers the opening event on September 8, full conference participation including lunches and refreshments on September 9 and 10, and the harbour cruise and conference closing activity in Tivoli Garden on September 10 as described in the conference programme. 

The fees do NOT cover dinners, participation in the academic conference "Journeys of Expression" (see below), or participation in the ticketed social events.

Special discounts are available as follows:

1. As IFEA Europe is a learning organisation open to up-and-coming event management professionals, a limited number of discount delegate passes are available to students of industry related fields such as tourism management, event management, arts & culture management, leisure management, and performance design. 

Eligible students may register directly on this site, choosing the student day rate. Before making a final accept of your participation, IFEA Europe will request proof of your student status. If you want to join us for both conference dates, enter "studentfullconference" as a discount code to obtain a special two-day student rate.

2. If you are a member of a partner organisation (such as a national festival organisation with its own IFEA Europe membership), you are eligible to register using the partner organisation's special discount code. For details, see the invitation that you may have received from IFEA Europe or from the partner network, or contact your partner network.

3. A general discount of 10% is available in case 3 or more individuals from the same organisation register for the conference. To obtain the discount, you MUST register and pay for all delegates at the same time, and you should enter "multipledelegates" as your discount code before commencing the registration process.

4. Researchers attending the "Journeys of Expression" academic pre-conference are eligible for discount to the IFEA Europe conference. The discounted rate is available on the "Journeys of Expression" registration site.

5. Special conditions apply for delegates whose participation are sponsored in full or in part by the DCCD.

 

SEPARATELY TICKETED EVENTS

Evening experience - September 9.

Copenhagen is a city with an active cultural life, and we suggest that you take advantage of one of the performance and concert opportunities offered in the evening of September 9.

IFEA Europe will select a few interesting events for your consideration. The events will be posted on this site in mid August 2010. Registered delegates will receive an e mail with further details and payment information. 

North Zealand Excursion - September 8

Journeys of Expression conference - September 11-12

IFEA Europe delegates with special interest in academic research related to the industry may chose to arrive in Copenhagen early to join the "Journeys of Expression" conference organised by Leeds Metropolitan University and CBS - Copenhagen Business School in association with IFEA Europe. The conference will feature new papers presented by esteemed researchers - promises to be an inspiring and eye-opening event for practitioners/festival organisers who are not usually exposed to academic research related to the festivals and events sector. For more information about Journeys of Expression, please visit  http://www.tourism-culture.com/conferences_and_events.html.

To book your participation in the separately ticketed events listed above, please carefully select the appropriate options in the scroll-down tickets menu above (when published).

TRANSPORTATION

To arrive in time for the "Festive Roads To Recovery" IFEA Europe conference, we suggest that you arrive no later than 14:30 hrs. on September 8, to allow you to get to check in at your hotel in the city centre in time for the opening event starting at 17:00 hrs.

Getting from and to the Copenhagen Airport is easy. The metro runs every few minutes directly to the city centre (a 10-12 min. ride), and trains to the Central Train Station run every 20 min. Which option you choose may depend on your hotel location. The conference venues are all in the downtown and Frederiksberg area, accessible on foot or with a short ride on metro/other public transportation. We will provide detailed local travel information in your welcome pack. 

CANCELLATION POLICIES:

In case of sickness and similar force majeure, you may appoint an other representative of your organisation to take your place at the conference at no extra cost. However, to maintain correct delegate lists, we request that a message about the replacement, with the new delegate's name, is sent to copenhagen@ifeaeurope.com.

In case of full cancellation, the following refund policies pertaining to the delegate's fee shall apply:

For cancellations received between before August 15: 50% refund including administration fee.

For cancellation received after August 15: No refund 

Request for refund, with a brief explanation, should be sent to copenhagen@ifeaeurope.com

NOTE: Delegates who were registered for the original conference (scheduled for April 21-23, but cancelled on a short notice due to the ash cloud flight ban situation at the time), are no longer eligible to receive a full refund in case they cannot participate in September. The full refund option expired on July 30.

IFEA Europe does NOT refund any of the following expenses: Administrative fees paid to EventBrite in connection with the registration via this event booking page (see "ticket information"), fees pertaining to the use of credit cards or other bank transfer cost, fees associated with the delegate's cancellation of transportation and accommodation, and fees/non-refundable tickets booked by IFEA Europe on behalf of the delegate to 3rd party events listed under "social programmes" above.

 

ON-SITE MARKETING OPPORTUNITIES

Festival/event organisers are able - and encouraged - to bring brochures/leaflets describing their festival/event for free table-top display and pick-up by other delegates.

For commercial marketing opportunities - including conference sponsorship and on-site marketing to delegates by event suppliers - please contact copenhagen@ifeaeurope.com.

 

DENMARK - ENTRY VISA REQUIREMENTS

Delegates requiring special visa to enter the Kingdom of Denmark should contact their local Danish Embassy well in advance to be fully briefed about visa rules and regulations. If a special invitation letter is required , IFEA Europe may issue such a letter upon request from the delegate. Requests for an invitation letter should be sent to copenhagen@ifeaeurope.com.  An invitation letter will  ONLY be issued to delegates who have paid their registration fee in full, and who can document industry affiliation. In case a visa is rejected by the Danish/EU immigration autorities, IFEA Europe shall reimburse the delegate's fee except a € 25 administration fee.

Founded in 1992, the International Festivals and Events Association Europe - IFEA Europe - is the European affiliate of IFEA World. The conference site is now reopened for bookings. We are in the process of setting up a series of activities relating the large "My World IMAGES Festival" which takes place in Copenhagen at the time of the September conference.

LATEST: FLIGHT SITUATION IN NORTHERN EUROPE 

On April 15th, all flights to and from Scandinavia, the British Isles, and other parts of northern Europe were cancelled due to the volcanic dust cloud moving in from Iceland. It is impossible to say when the airspace will reopen. The IFEA Europe board closely monitors the situation. We remain hopeful that the conference will not be inflicted. We shall send an announcement to all delegates and post information on this web page on Monday, April 19th at noon in case we shall have to cancel/postpone the conference. Unfortunately, this scenario is likely if by Monday flights are expected to remain grounded further into the week.
